These Terms & Conditions explain the rules that apply when you browse Travel09, request travel services, receive a quotation, create an account, make a booking, pay for travel or use our support services.

Before you book

Four things every traveller should understand.

Travel bookings often involve multiple suppliers. Your confirmed quotation, invoice or booking confirmation may contain additional terms specific to the service.

01 Availability changes

Hotels, flights, transfers, rooms and experiences are not guaranteed until confirmed.

02 Supplier rules apply

Hotels, resorts and operators may have their own cancellation, payment and operational conditions.

03 Check the final confirmation

Dates, names, prices, inclusions and payment deadlines should be reviewed before travel.

04 Travel documents are your responsibility

Passports, visas, permits and entry requirements remain the traveller’s responsibility.

Agreement

Acceptance of these Terms

By using travel09.com, creating a customer account, submitting an enquiry, accepting a quotation, making a payment or booking a service through Travel09, you agree to these Terms & Conditions together with any booking-specific terms supplied to you.

If you make a booking for other travellers, you confirm that you are authorised to act for them and that you will communicate the relevant booking information, conditions and responsibilities to them.

Booking-specific documents may add to these Terms.

A quotation, invoice, voucher, payment request, supplier condition or confirmation may contain additional terms for a particular booking.

Agency role

Travel09's role in your booking

Travel09 may arrange or facilitate travel services supplied by independent third parties, including hotels, resorts, tour operators, transfer companies, guides, activity providers, transport operators and other suppliers.

Unless Travel09 expressly states that a service is supplied directly by Travel09, the actual travel service is provided by the relevant supplier. The supplier may have additional terms, policies, operating procedures and liability rules.

Travel09 may also package or coordinate multiple services into a single itinerary or booking workflow.

Planning stage

Enquiries, proposals and quotations

An enquiry, itinerary idea, search result, estimated price or quotation does not by itself create a confirmed booking.

Unless expressly stated otherwise, prices and availability are subject to supplier confirmation. Rates may change because of availability, exchange-rate movements, taxes, fuel surcharges, supplier revisions, transport costs or other legitimate booking variables.

A quotation may have an expiry date. After that date, Travel09 may need to re-check price and availability.

Confirmation

When a booking becomes confirmed

A booking is treated as confirmed only when Travel09 has issued confirmation and any required deposit, payment or other booking requirement has been satisfied.

Payment alone may not create confirmation if the supplier has not yet accepted the reservation. Where a payment is taken pending supplier confirmation, Travel09 should notify you of the final booking status.

Check your confirmation immediately.

Verify traveller names, travel dates, destination, room type, meal plan, transfers, inclusions, price, payment deadlines and cancellation conditions.

Pricing

Prices, taxes and currencies

Prices may be quoted in USD, LKR, MVR or another currency depending on the service and supplier. Your quotation or confirmation should identify the applicable transaction currency.

A price may include or exclude taxes, service charges, transfers, meals, resort charges, entrance fees or other items depending on the specific offer. Always rely on the stated inclusions and exclusions.

Your bank, card issuer or payment provider may apply its own currency conversion rate or international transaction charge. Travel09 does not control those external charges.

Obvious pricing or typographical errors may be corrected before confirmation. If a material error is discovered after payment, Travel09 will contact you to agree an appropriate resolution.

Payment

Deposits, balances and payment deadlines

A booking may require full prepayment, a deposit, staged payments or a balance due by a specified date. The applicable schedule will be shown in your quotation, invoice or booking confirmation.

If payment is not received by the required deadline, availability or pricing may be lost and the booking may be cancelled according to the applicable terms.

Travel09 may accept different payment methods depending on the booking. A payment method is not guaranteed to be available for every service.

Use approved payment channels only.

Do not send card security codes, account passwords or complete card credentials by ordinary email, WhatsApp or public form fields.

Amendments

Changes requested by the traveller

If you want to change dates, names, room types, hotels, routes, transfers, activities or other confirmed services, contact Travel09 as soon as possible.

Changes are subject to supplier acceptance, availability and the conditions of the original booking. Supplier amendment fees, fare differences, cancellation charges or Travel09 handling costs may apply where permitted.

Some bookings are non-changeable or may require cancellation and rebooking.

Cancellation

Cancellations by the traveller

Cancellation requests should be submitted to Travel09 in writing or through the communication method instructed for the booking.

Cancellation charges depend on the supplier, product, travel date and booking conditions. Some rates are fully non-refundable from the time of confirmation, while others allow cancellation without charge up to a stated deadline.

The effective cancellation date is normally the date Travel09 receives and can process the request, subject to supplier operating hours and conditions.

Refunds

Refund eligibility and timing

Refund eligibility depends on the confirmed booking conditions and any supplier approval required. Travel09 cannot promise a refund where the supplier terms make the service non-refundable.

Where a refund is due, supplier processing time, payment processor procedures and your bank or card provider may affect when funds become available.

Bank charges, card-provider charges, currency conversion differences or other third-party fees may not be recoverable unless required by law or expressly agreed.

Operational changes

Changes or cancellations by suppliers

Travel suppliers may occasionally change or cancel a service because of operational, weather, safety, technical, regulatory or commercial reasons.

Where Travel09 is notified of a material change, we will aim to communicate it and, where reasonably possible, help identify an alternative or explain the supplier's available remedy.

Any refund, credit or substitute service may be governed by the supplier's terms and applicable law.

Exceptional events

Force majeure and events beyond reasonable control

Travel services can be affected by events outside reasonable control, including severe weather, natural disasters, epidemics, pandemics, government action, border closures, strikes, civil disturbance, security events, transport disruption, airport closure, system failures, supplier insolvency or other extraordinary events.

In these situations, normal performance may become impossible or materially different. Travel09 will assist where reasonably possible, but refunds, credits, rebooking rights and additional costs may depend on supplier rules and applicable law.

Accommodation

Hotels and resorts

  • Hotel star classifications and descriptions may follow local or supplier standards.
  • Check-in and check-out times are set by the hotel.
  • Early check-in and late check-out are subject to availability unless specifically confirmed.
  • Room location, floor, view and bedding requests are not guaranteed unless confirmed as a booked room category or written commitment.
  • Meal-plan inclusions vary by property and rate.
  • Hotels may require a deposit or card pre-authorisation for incidental expenses.
  • Occupancy limits and child-age policies vary.
  • Resort facilities can change temporarily due to maintenance, weather or operational requirements.

Touring

Tours, itineraries and guides

Tour timings and routes are based on reasonable planning assumptions but may need adjustment due to road conditions, weather, site closures, traffic, safety concerns or local operating conditions.

Entrance fees, meals, guides, drivers and activities are included only where expressly stated.

Private tours may be customisable, but amendments remain subject to availability, logistics, supplier agreement and additional costs.

Ground & airport transport

Transfers and transport services

You are responsible for providing accurate flight, pickup, hotel, passenger and contact information required for a transfer.

Transfer operators may impose luggage, waiting-time, route, child-seat or vehicle-capacity conditions. Additional charges may apply if requirements differ from the confirmed booking.

Flight delays or changes should be communicated promptly. A transfer may need to be re-arranged and remains subject to provider availability.

Maldives

Maldives resort and island travel

Maldives resort bookings often depend on a specific transfer method such as speedboat, domestic flight plus boat, or seaplane.

  • Transfer type is normally determined by island location and supplier arrangements.
  • Seaplane operations are generally subject to daylight, weather, load and operational conditions.
  • Domestic-flight schedules may change and may involve waiting time or onward boat transfers.
  • Baggage allowances may differ from your international airline allowance.
  • Transfer prices may be compulsory and may be charged separately from the room rate.
  • Weather or operational changes can affect arrival and departure transfer timing.

Always check the confirmed resort-transfer terms before finalising international flights.

Sri Lanka

Sri Lanka road travel and itineraries

Road distances in Sri Lanka may appear short but actual travel time can be affected by traffic, mountain roads, weather, roadworks and local conditions.

Suggested journey times are estimates rather than guaranteed arrival times unless a specific transport service states otherwise.

Safari parks, attractions, trains and local experiences may be affected by availability, weather, operating schedules and regulatory conditions.

Activities

Experiences and activities

Activities may involve eligibility, age, fitness, swimming ability, certification, weather or safety requirements.

You must disclose relevant information requested by the operator and follow safety instructions. An operator may refuse participation where it reasonably considers participation unsafe.

Marine, wildlife and outdoor activities cannot guarantee sightings, weather, sea conditions or other natural outcomes.

Your responsibilities

Traveller information and accuracy

You are responsible for ensuring that traveller names, dates of birth, passport data, flight details, contact details and other information supplied for a booking are accurate.

Costs resulting from incorrect or incomplete information may be charged where permitted and where the supplier imposes those costs.

Keep Travel09 informed if your contact information, flight schedule or other booking-critical details change.

Entry requirements

Passports, visas, permits and immigration

Travellers are responsible for confirming and meeting passport-validity, visa, transit, immigration, customs, permit and entry requirements applicable to their nationality and itinerary.

Requirements can change without notice. Information provided by Travel09 should be treated as general assistance unless expressly confirmed as official advice from the relevant authority.

Always verify entry rules with an official source.

A denied boarding or denied entry caused by missing or invalid travel documents may result in substantial costs and may not qualify for refund.

Health & accessibility

Health, mobility and special requirements

Tell Travel09 about accessibility, mobility, dietary or other special requirements that may materially affect the services you need.

Travel09 will aim to pass relevant requirements to suppliers, but a request is not guaranteed unless the supplier confirms it.

Travellers are responsible for obtaining appropriate professional medical advice regarding fitness to travel, vaccinations or health needs where relevant.

Risk protection

Travel insurance

Travel09 strongly recommends appropriate travel insurance covering your circumstances and itinerary.

Depending on the trip, suitable cover may include cancellation, medical treatment, emergency evacuation, baggage, missed connections, delays, supplier failure and activities you plan to undertake.

It is your responsibility to understand the insurance policy terms, exclusions, limits and disclosure obligations.

Behaviour

Traveller conduct

Travellers must comply with applicable laws, supplier rules and reasonable safety instructions.

A supplier may refuse or terminate a service where a traveller behaves unlawfully, abusively, dangerously or in a way that materially disrupts other guests, staff or operations.

Additional costs caused by traveller misconduct may remain the traveller's responsibility where lawful.

Customer account

Account use and security

You are responsible for keeping your Travel09 customer-account credentials confidential and for activity carried out through your account unless unauthorised access is caused by Travel09's own fault.

Notify Travel09 promptly if you believe your account has been compromised.

Travel09 may suspend an account where reasonably necessary to protect security, investigate misuse, comply with law or protect customers and the platform.

Website rules

Acceptable use of travel09.com

You may use Travel09 for legitimate personal or business travel-planning purposes.

You must not attempt to:

  • gain unauthorised access to accounts, servers, databases or administrative systems;
  • interfere with website security or availability;
  • submit malicious code, spam or abusive requests;
  • scrape or copy substantial website content in violation of applicable rights;
  • impersonate another person or submit fraudulent booking or payment information; or
  • use the platform for illegal activity.

AI-assisted planning

Artificial intelligence features

Travel09 may use AI-assisted technology to help interpret travel preferences, generate itinerary ideas, summarise requests, identify relevant travel options or support customer-service workflows.

AI output is informational and may be incomplete, inaccurate, outdated or unsuitable for your particular circumstances.

AI output does not confirm availability or price.

Hotel rates, travel rules, visas, supplier conditions and booking availability must be verified through the relevant booking or official process.

Do not submit unnecessary passport numbers, payment credentials, passwords or highly sensitive data into general AI text fields.

Intellectual property

Website content and intellectual property

Travel09 website branding, original text, layouts, graphics, software and other proprietary materials may be protected by copyright, trademark or other intellectual-property rights.

Third-party hotel images, maps, supplier content or trademarks remain subject to the rights of their respective owners.

You may use publicly available Travel09 content for normal personal travel planning, but you may not reproduce or commercially exploit protected content without appropriate permission.

Personal data

Privacy and personal information

Travel09 processes personal data in connection with website use, enquiries, accounts, bookings, payments and customer support.

Please read our Privacy Policy for information about how personal data is collected, used, shared and protected.

Responsibility

Liability and limitations

Nothing in these Terms is intended to exclude or limit liability that cannot lawfully be excluded.

Subject to applicable law, Travel09 is not responsible for losses caused solely by independent suppliers, traveller error, inaccurate information provided by the traveller, events outside reasonable control, or indirect losses that were not reasonably foreseeable when the booking was made.

Where Travel09 is responsible for its own failure, liability will be determined according to the applicable contract, law and circumstances.

Supplier liability may be governed by its own terms, local law or applicable transport conventions.

Problems

Complaints and service issues

If a problem occurs during travel, report it as soon as reasonably possible to the relevant supplier and to Travel09 so there is an opportunity to assist.

After travel, send any unresolved complaint with the booking reference, traveller name, dates, description of the issue and supporting information.

We will aim to review complaints fairly and may need to obtain information from the supplier before providing a final response.

Legal framework

Governing terms, mandatory rights and severability

These Terms are subject to mandatory consumer, contract and travel-related laws that apply to the relevant transaction.

Any booking-specific document may identify the contracting entity, governing law or dispute forum applicable to that booking.

If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

A failure by Travel09 to enforce a provision on one occasion does not automatically waive the right to enforce it later.

Updates

Changes to these Terms

Travel09 may update these Terms when services, technology, suppliers, business processes or legal requirements change.

Updated Terms will be published on this page with a revised date. Changes do not automatically alter rights already fixed under a confirmed booking where the law or contract prevents that.
