Plans can change.The rules should still be clear.

This policy explains how cancellation charges, supplier penalties, amendments and refunds are handled for Travel09 hotel reservations, Sri Lanka tours, Maldives holidays, transfers and experiences.

Before cancelling

Four rules determine most cancellation outcomes.

The booking confirmation is the starting point. It identifies the exact supplier terms that apply to the reservation you purchased.

01Hotel policy controls hotel charges

Travel09 applies the cancellation terms attached to the confirmed hotel or resort rate.

02Supplier costs can be non-refundable

Tickets, transfers, seaplanes, domestic flights, guides and activities may already be committed.

03Earlier notice usually costs less

Travel09 default tour schedules use progressively higher charges as the service date approaches.

04No-show is normally 100%

A confirmed service that is not used without timely cancellation is normally fully chargeable.

Scope

What this policy covers

This Cancellation & Refund Policy applies to services booked through Travel09, including accommodation, private and guided tours, packages, transfers and activities. It must be read together with the booking confirmation, quotation, invoice, supplier conditions and Travel09 Terms & Conditions.

Priority rule

Supplier policy comes first

Many Travel09 services are supplied by independent hotels, resorts, transport companies, activity providers and other travel suppliers. Where a supplier has provided a specific cancellation, amendment or no-show policy, Travel09 applies that policy to the relevant supplier component. Travel09 default schedules apply only where a stricter or different confirmed supplier condition does not already apply.

Accommodation

Hotels and resorts

Travel09 hotel ruleHotel and resort cancellations are charged according to the cancellation policy attached to the confirmed property, room type and rate.

Hotel cancellation conditions can vary by property, season, country, room type, meal plan, promotion, occupancy, booking channel and rate plan.

Flexible rate

May allow cancellation without charge until a specified date or time.

Semi-flexible rate

May charge one night, a percentage, or a deposit after a stated deadline.

Non-refundable rate

Usually becomes fully chargeable from confirmation.

Maldives resort bookings often include separate transfer cancellation conditions.

Cancelling the room does not automatically mean speedboat, domestic-flight or seaplane charges are refundable.

Restricted rates

Non-refundable bookings

A booking described as non-refundable, non-cancellable, advance purchase or similarly restricted may carry a 100% cancellation charge from confirmation.

Travel09 cannot promise a refund of a supplier amount that the supplier lawfully retains under the confirmed booking conditions.

Default Sri Lanka tour cancellation schedule

The following is Travel09's default cancellation schedule for custom Sri Lanka land tours and itinerary services where no different confirmed supplier condition applies.

Actual supplier losses can override the table.

If a Sri Lanka hotel, train reservation, safari, guide, vehicle, attraction or activity is already more restrictive or non-refundable, the actual committed supplier charge is applied where appropriate.

Maldives

Default Maldives package cancellation schedule

Maldives bookings commonly involve resort inventory, mandatory transfers and stricter seasonal conditions. This schedule is Travel09's default only where no stricter confirmed supplier rule applies.

Resort terms can be stricter than this default.

Festive dates, early-bird promotions, honeymoon offers, villas, seaplanes, domestic flights and special meal plans may become non-refundable much earlier.

Transport

Transfers and transport cancellations

Transfer cancellation conditions depend on the provider and service type.

Sri LankaPrivate road transfers

Where no stricter provider term applies, more than 72 hours before pickup is normally reviewed for refund; 24–72 hours may incur up to 50%; under 24 hours or no-show may incur 100%.

MaldivesSpeedboat transfers

Supplier terms control. Shared or resort speedboats may become non-refundable once manifests or reservations are confirmed.

MaldivesDomestic flights / seaplanes

Airline or operator rules control and tickets may be partly or fully non-refundable after issue.

Incorrect flight information, late arrival or failure to appear may be treated as a no-show.

Activities

Experiences, excursions and activities

Activity cancellation conditions vary by operator. Where no supplier-specific policy applies, Travel09 generally treats cancellations more than 72 hours before the activity as eligible for review, 24–72 hours as potentially subject to a partial charge, and cancellations inside 24 hours or no-shows as potentially 100% chargeable.

Weather cancellation by the operator is treated separately from voluntary cancellation by the traveller.

High demand

Peak season, festive dates and special events

Christmas, New Year, Easter, public holidays, school holidays, major events and other peak periods may have stricter cancellation rules. Maldives resorts in particular may require earlier deposits, compulsory festive meals, minimum stays and long cancellation windows. Confirmed peak-season supplier terms override the general schedules.

Groups

Group bookings and series reservations

Group reservations often require earlier deposits, rooming lists, staged payments and longer cancellation periods. The group quotation or contract controls, and reducing rooms or travellers may cause repricing of the remaining group.

Partial changes

Partial cancellations

Removing one traveller, room, night, activity or transfer from a multi-service booking is treated as an amendment or partial cancellation. Charges may apply only to the affected component, but package pricing can change if the remaining booking no longer qualifies for the original occupancy, promotion or group rate.

Changes

Date changes and amendments

Changing dates, hotels, rooms, names, transfers or itinerary components is subject to supplier acceptance and availability. A change may involve an amendment fee, cancellation charge, fare difference, new seasonal price or administrative cost.

Missed service

No-show

A no-show occurs when a traveller does not use a confirmed service and has not cancelled within the required period. Hotel no-shows, missed transfers, missed tours, unused activities and missed transport are normally subject to a 100% charge unless the supplier expressly approves otherwise.

Unused services

Early departure and unused services

Leaving a hotel early or choosing not to use a confirmed tour, meal, transfer or activity does not automatically create a refund. Any refund depends on supplier approval and the booking conditions.

Supplier action

Cancellation by a hotel or supplier

If a supplier cancels a confirmed service, Travel09 will aim to notify you promptly and, where reasonably possible, help arrange an alternative, credit or refund available under the supplier terms and applicable law.

Exceptional events

Force majeure and events beyond reasonable control

Severe weather, natural disasters, government action, border restrictions, epidemics, civil disturbance, strikes, airport closures and transport disruption can make normal travel impossible or unsafe. Refunds are not automatically guaranteed and depend on supplier rules, applicable law and recoverable amounts.

Processing

Refund method and timing

Refunds are normally returned through the original payment route where reasonably possible. Travel09 may need to wait for a supplier to approve or return funds before the final refund can be processed. Bank and card processing times are outside Travel09 direct control after release.

Financial adjustments

Bank fees, payment fees and foreign exchange

A refund can differ from the original bank-statement amount because of card-provider exchange rates, foreign exchange movements, international transaction fees or banking costs. Travel09 does not control exchange rates applied independently by your bank or card issuer.

Protection

Travel insurance

Travel09 strongly recommends appropriate travel insurance from the time significant non-refundable travel costs are committed. Insurance coverage and claims are governed by the insurer terms.

Questions

Cancellation or refund disputes

If you disagree with a cancellation charge, contact Travel09 with the booking reference and explain the specific amount or supplier condition you want reviewed. Travel09 may need to obtain the supplier written terms or refund response. Mandatory consumer rights under applicable law remain unaffected.

Updates

Changes to this policy

Travel09 may update this policy as supplier arrangements, services, operational practices or legal requirements change. A later website policy does not automatically replace cancellation conditions already fixed in a confirmed booking where the contract or applicable law prevents that.

Refund calculation

How refunds are calculated

Where a refund is due, Travel09 calculates it from the amount paid for the cancelled component after applying relevant deductions.

  • the applicable hotel or supplier cancellation charge;
  • non-refundable tickets or reservations already issued;
  • committed transport, guide or activity costs;
  • package repricing caused by a partial cancellation;
  • permitted payment, bank or administrative costs;
  • any amount already refunded or credited by a supplier.

Travel09 should provide a clear explanation of material deductions where reasonably possible.

Procedure

How to request a cancellation

Submit the cancellation request through Travel09's authorised contact channel and include enough information to identify the reservation.

Sending a message does not automatically cancel supplier inventory if the request has not yet been received and processed.

Practical examples

How the policy works in real bookings.

These examples explain the logic only. The confirmed supplier terms determine the actual amount for a specific booking.

HotelFlexible Colombo hotel

The hotel allows free cancellation until 48 hours before arrival. Travel09 applies that hotel rule rather than a general tour schedule.

Sri LankaCustom 10-night tour

If cancelled 20 days before arrival, the default Travel09 tour band is considered, plus any stricter hotel, train, safari or activity charges already committed.

MaldivesResort + seaplane package

The resort may allow a partial refund while the issued seaplane component is non-refundable. Each component follows its confirmed supplier condition.
